Moderation Easy Terms of Service

These Terms of Service ("Terms") govern access to and use of the Moderation Easy service, including the web administration panel, backend APIs, supported game-server clients, real-time update systems, message/template systems, moderation tooling, and related websites and documentation (collectively, the "Service").

1. Who these Terms apply to

These Terms apply to:

  • organizations, server networks, communities, and businesses that create or operate a Moderation Easy tenant or organization;
  • administrators, moderators, helpers, and other staff users who access the Service through a web login, linked account, or organization role;
  • developers and automation systems that access the Service through service accounts, API keys, webhooks, or client integrations; and
  • visitors to any Moderation Easy-operated marketing or informational site that links to these Terms.

If you use the Service on behalf of an entity, you represent that you have authority to bind that entity to these Terms.

2. Key definitions

For these Terms:

  • "Organization" means a tenant, server network, or community using the Service.
  • "Customer Data" means data submitted to, stored in, or processed by the Service on behalf of an Organization, including player records, punishments, reports, notes, logs, proofs, templates, configurations, and integration settings.
  • "Staff User" means a natural person who accesses the Service through an authenticated account, linked account, or organization membership.
  • "Service Account" means a non-human account authorized to access organization-scoped APIs using an API key.
  • "Player Data" means data about a player or account subject to moderation, including identifiers, platform data, IP-related data, punishments, reports, notes, or related metadata.
  • "AI Features" means summaries, analyses, suggestions, or agent-style workflows generated using configured model providers or gateways.

3. The Service

Moderation Easy is an organization-scoped moderation platform designed for game communities and related moderation operations. Depending on your deployment and enabled features, the Service may include:

  • a browser-based administration panel;
  • organization, role, member, invite, and permission management;
  • player records and linked-account management;
  • punishment creation, editing, revocation, batch actions, delivery tracking, and proof management;
  • premade punishments and other reusable moderation presets;
  • punishment tracks and escalation logic;
  • reports, report settings, false-report rules, and report resolution workflows;
  • chat filtering, violation alerts, and moderation rule synchronization;
  • in-game or proxy-side enforcement through supported client platforms;
  • Discord bot features, role sync, interactions, and webhook notifications;
  • customizable message templates and GUI definitions, including import/export;
  • organization broadcasts, punishment broadcasts, and other permission-gated moderation messaging;
  • IP analysis, IP-based punishments, duplicate-IP analysis, VPN/proxy intelligence, and related enrichment;
  • service-account API access, including attribution-only and linked-member impersonation flows where enabled;
  • AI Features such as proof summaries, player-history overviews, report summaries, staff-guide assistance, and track-configuration assistance;
  • log ingestion, parsing, indexing, querying, and moderation-related event processing; and
  • real-time update delivery to supported clients over WebSocket or similar channels.

Paper and Velocity client integrations are included. Additional platforms, connectors, or client distributions may be offered separately.

4. Eligibility and account access

You may use the Service only if you can form a binding contract and your use complies with applicable law.

4.1 Staff authentication

Staff access to the administration interface is designed around OAuth2/OIDC-style identity management. The hosted deployment uses Logto as its OpenID Connect provider, and self-hosted or custom deployments may use another compatible OpenID Connect provider.

You are responsible for:

  • maintaining the confidentiality of your login credentials and linked identity accounts;
  • using strong authentication controls, including MFA where available;
  • keeping your account, linked accounts, and recovery methods accurate;
  • promptly revoking access for former staff, compromised users, or mistakenly linked accounts.

4.2 Organization roles and permissions

Organizations can assign granular permissions across moderation, reports, organization management, chat filtering, audit logs, GUIs, message templates, log ingest, account linking, IP tools, and other features.

You are solely responsible for:

  • how you configure roles, direct permissions, track assignments, and access policies;
  • who you invite into your Organization;
  • whether you allow in-game permissions without linked accounts; and
  • how you use impersonation-style features such as do-as or as-player attribution.

4.3 Service accounts and API keys

The Service supports Service Accounts authenticated by API keys. Service-account secrets must be treated as highly sensitive credentials.

You must:

  • store API keys securely;
  • rotate and revoke API keys when appropriate;
  • grant the minimum permissions necessary;
  • avoid embedding secrets in public repos, client-side code, screenshots, or shared configs; and
  • monitor Service Account activity for misuse.

You are responsible for all actions performed with your Service Accounts, including actions attributed through doAsPlayerIdHex or asPlayerIdHex flows where those features are enabled.

5. Customer responsibilities

You are responsible for your Organization's use of the Service and for all Customer Data submitted through your users, clients, integrations, or automated systems.

You must:

  • use the Service only for lawful moderation, safety, administration, and related operational purposes;
  • provide any notices, disclosures, policies, or consent flows required for your players, users, or community members;
  • ensure that you have the right to upload, ingest, disclose, and process any evidence, chat logs, usernames, IP-related data, reports, notes, or other content you submit;
  • configure the Service in a way that is appropriate for your community, jurisdiction, and risk tolerance;
  • review important moderation actions and not rely solely on automation where human review is appropriate;
  • avoid storing unnecessary highly sensitive data in reports, proofs, notes, log-ingest payloads, GUI definitions, message templates, or other free-text fields;
  • keep webhook destinations, Discord channels, and external integrations under your control; and
  • comply with platform rules and third-party terms that apply to any connected service, host, or messaging platform.

6. Prohibited conduct

You may not, and may not permit others to:

  • use the Service for unlawful discrimination, harassment, stalking, doxxing, or retaliation;
  • use the Service to target, profile, or punish individuals in violation of applicable law or platform rules;
  • submit malware, malicious files, exploit payloads, credential dumps, or harmful code as "proof," attachments, or log-ingest content;
  • intentionally upload or ingest child sexual abuse material, terrorist content, copyright-infringing material you do not have rights to use, or other unlawful content;
  • abuse report flows, including false reports, spam reports, retaliatory reporting, or report brigading;
  • attempt to bypass, probe, or defeat authentication, permission checks, rate limits, tenant isolation, WebSocket protections, or audit mechanisms;
  • misuse do-as, as-player attribution, linked-account flows, or role sync to impersonate other users or escalate privileges;
  • scrape, harvest, or export player, IP, or moderation data outside the permissions and purposes authorized by the relevant Organization;
  • expose or route sensitive moderation data to unauthorized webhook endpoints, Discord channels, bots, or external services;
  • use AI Features as the sole basis for irreversible, unlawful, or high-risk decisions without first reviewing the AI-generated recommendations;
  • reverse engineer, decompile, or misuse the Service except to the extent such restriction is prohibited by law; or
  • overload, interfere with, or degrade the Service through abusive automation, excessive polling, or intentionally malformed content.

We may suspend or terminate access for violations of this section.

7. Moderation-specific terms

Because the Service is built for moderation operations, the following additional rules apply:

7.1 You control moderation decisions

Organizations and their staff are responsible for moderation decisions taken through the Service, including bans, mutes, warns, kicks, IP-based actions, track-based escalations, report resolutions, chat-filter actions, and linked-account consequences.

We provide tooling; we do not guarantee that any moderation decision is correct, fair, legally sufficient, or appropriate for your community.

7.2 Automation may be wrong

Chat filtering, IP intelligence, duplicate-IP analysis, VPN/proxy detection, premade punishments, track escalation, AI summaries, and other automated assistance can be incomplete, false-positive-prone, or evadable.

You agree to review AI-generated recommendations before taking irreversible moderation actions and not represent automated outputs as infallible.

7.3 Evidence and proof uploads

Proof content may include text, files, metadata, previews, download links, and version history. Hidden proof may remain retained for audit/history purposes even if it is removed from primary user interfaces or AI summaries.

You are responsible for:

  • the legality and accuracy of the evidence you upload;
  • redacting unnecessary sensitive information;
  • ensuring files are safe to store and access; and
  • verifying any external links you attach.

7.4 Reports and false-report controls

Organizations may configure report reasons, report cooldowns, staff notifications, and rules that automatically punish repeat false reporters. You are responsible for configuring those controls in accordance with applicable law and your Organization's published moderation guidelines.

You must not use the report system to harass players, manufacture false disciplinary records, or retaliate against people for making good-faith reports.

7.5 Log ingest

If you enable log ingest, you are responsible for the source material you send, including any chat logs, command logs, gameplay events, extracted JSON, indexed data, or raw payloads. Do not use log ingest to transmit secrets or data you are not authorized to process.

8. Customer Data and licenses

As between you and us, you retain your rights in Customer Data. You grant us a non-exclusive, worldwide, limited license to host, store, copy, index, transform, transmit, and otherwise process Customer Data as necessary to:

  • provide the Service;
  • secure and improve the Service;
  • generate audits, previews, summaries, indexes, and derived metadata;
  • synchronize data to authorized clients and integrations;
  • enforce plan limits, rate limits, and abuse controls; and
  • comply with law and contractual obligations.

AI Processing

When AI Features are enabled:

  • Paid plans: Your Customer Data is processed solely to provide AI-generated summaries and recommendations. Your data is NOT used to train, improve, or develop AI models.
  • Free plans: Customer Data may be used to provide AI features and may also be used to improve AI models. If you wish to opt out of AI training on free plans, contact us at the email listed in Section 20.

This license ends when your Customer Data is deleted from the Service, except to the extent retention is required for backups, security, dispute resolution, audit integrity, or legal compliance.

9. Third-party services and integrations

The Service may rely on or connect to third-party services selected by you or by the deployment operator. These may include:

  • Logto or another configured OpenID Connect identity provider for staff authentication;
  • Railway-hosted application components, PostgreSQL, Dragonfly/Redis, and related internal services;
  • Cloudflare for DNS/CDN, Workers-hosted marketing or pricing pages, and R2 file storage;
  • LiteLLM or another configured AI gateway, together with one or more upstream model providers, when AI Features are enabled;
  • Discord APIs, slash commands, guild configuration, bots, and webhook destinations;
  • Crafatar and Coconut.co where avatar delivery or video post-processing is enabled;
  • IP-intelligence, VPN/proxy detection, and blocklist providers such as list-vpn-service, vpnapi.io, IpInfo, Team Cymru, or similar configured services;
  • a payment processor for subscription and usage-based billing (provider to be named at launch); and
  • customer-configured external URLs, commands, storage destinations, or webhooks.

If you configure third-party integrations, you authorize us to transmit the relevant data to those services at your direction. We are not responsible for third-party systems, their uptime, or their handling of data once disclosed to them.

10. Security, audit, and abuse prevention

The Service includes organization permissions, audit logging, API-key hashing, storage of configured integration credentials, rate limiting, and other security controls. We may also log and analyze operational events to prevent abuse and preserve service integrity.

However:

  • no security control is perfect;
  • you remain responsible for your own account hygiene, tenant configuration, network security, and endpoint security;
  • webhook destinations, commands, template overrides, imported GUI definitions, and Service Account credentials are particularly sensitive; and
  • audit logs, proof history, note history, and related records may preserve actions and prior versions for accountability.

11. Fees, trials, plans, and usage limits

If the Service is offered under paid plans, free tiers, trials, or usage-based pricing, the applicable pricing page, quote, order form, or written commercial agreement will control your fees and included limits.

Payment processing is provided through a third-party payment processor. When you submit payment information, it is processed securely by the payment processor in accordance with their terms and applicable law. We do not store complete payment card numbers. This section will be updated with the payment processor name before processing any payments.

Commercial terms may include limits or allowances relating to categories such as:

  • stored files or file-storage usage;
  • newly uploaded files;
  • stored punishments;
  • new punishments created over a period;
  • stored players;
  • new players processed over a period; and
  • AI usage or AI feature limits.

Unless a separate written agreement says otherwise:

  • fees are non-refundable except as required by law;
  • we may suspend paid features or the Service for non-payment;
  • free trials and beta access may be modified or ended at any time; and
  • overages or excess usage may be charged or rate-limited according to the applicable plan terms.

12. Changes to the Service

We may add, remove, rename, limit, or modify features at any time, including APIs, models, integrations, clients, templates, AI Features, or data-processing behavior, provided that we will make commercially reasonable efforts to avoid unnecessary breakage for generally available features.

Some features may be experimental, incomplete, region-limited, provider-dependent, or separately licensed.

13. Suspension and termination

We may suspend or terminate all or part of your access immediately if:

  • you breach these Terms;
  • your use creates security, legal, or operational risk;
  • you abuse moderation, report, API, upload, AI, webhook, or impersonation features;
  • you fail to pay fees when due, where applicable; or
  • we are required to do so by law or by a third-party platform/provider relationship.

You may stop using the Service at any time. Upon termination:

  • your access rights end immediately;
  • we may disable API keys, web access, integrations, and client connections;
  • Customer Data may remain retained for a limited period in backups, audit logs, version history, or legal/security holds; and
  • you remain responsible for charges and liabilities incurred before termination.

14. Intellectual property

The Service, including its software, documentation, design, branding, APIs, and non-Customer-Data content, is owned by us or our licensors and is protected by applicable intellectual-property laws.

Except for the limited rights expressly granted in these Terms, no license or ownership right is granted to you.

15. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," TO THE MAXIMUM EXTENT PERMITTED BY LAW.

WE DISCLAIM ALL IMPLIED WARRANTIES, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR PERFECTLY SECURE.

WITHOUT LIMITING THE FOREGOING:

  • AI Features may be inaccurate, incomplete, or misleading;
  • VPN, proxy, geo, ASN, and duplicate-IP analysis may be wrong or outdated;
  • moderation automations may generate false positives or fail to detect abuse;
  • real-time updates, webhooks, and client enforcement may be delayed or unavailable; and
  • third-party providers may change or fail without notice.

16. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, REVENUE, GOODWILL, DATA, OR BUSINESS INTERRUPTION, EVEN IF WE WERE ADVISED OF THE POSSIBILITY OF THOSE DAMAGES.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY ARISING OUT OF OR RELATING TO THE SERVICE OR THESE TERMS WILL NOT EXCEED THE GREATER OF:

  • THE AMOUNTS YOU PAID US FOR THE SERVICE IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM; OR USD $100.

Some jurisdictions do not allow certain limitations, so some of the above may not apply to you.

17. Indemnity

You will defend, indemnify, and hold harmless us and our affiliates, personnel, and providers from claims, losses, liabilities, damages, costs, and expenses (including reasonable legal fees) arising out of or related to:

  • your Customer Data;
  • your moderation decisions or enforcement actions;
  • your violation of these Terms;
  • your violation of law or third-party rights; or
  • your integrations, webhook destinations, external commands, uploaded files, or misuse of Service Accounts.

18. Changes to these Terms

We may update these Terms from time to time. The updated version will become effective when posted, unless a later effective date is stated.

If a change materially reduces your usage rights or increases your fees, and you do not agree, you must stop using the Service.

19. Governing law and disputes

These Terms are governed by the laws of New Zealand, without regard to its conflict of law principles.

Any dispute arising out of or relating to these Terms or the Service will be resolved in the courts of New Zealand, and you consent to the exclusive jurisdiction of those courts.

If you are a consumer residing outside New Zealand, you may bring proceedings in your local jurisdiction to the extent required by applicable consumer protection law.

Nothing in this section affects your rights under mandatory consumer protection laws that apply in your jurisdiction.
